LLApp Privacy Policy
LLApp ("LLApp," "we," "us," or "our") provides an AI-assisted instructional coaching and lesson-planning platform for teachers, coaches, and school/district staff ("Educators"). This Privacy Policy explains what information we collect through the Service, how we use and share it, how long we keep it, and the choices and rights available to you. It applies to the LLApp web application and any related services that link to this policy.
1. Who Uses LLApp, and Whose Data This Covers
LLApp accounts are provisioned to schools, districts, and other education organizations. The individuals who sign in and use the Service are Educators — LLApp is not made available directly to students, and students do not create accounts or access the Service themselves.
In the course of using LLApp, an Educator may reference student names, work samples, or classroom context inside a conversation, planning document, or uploaded file (for example, when asking the AI assistant to help plan an intervention for a specific student). We refer to this as "Student Data" in this policy.We do not solicit Student Data and we ask Educators to limit what they share to what is reasonably necessary; nonetheless, because it may appear within Educator-submitted content, we apply the heightened handling and retention rules described in Sections 4 and 5 to any content associated with a conversation.
2. Information We Collect
Account and identity information: your name and email address, which we use to authenticate you via a passwordless "magic link" sent to your inbox, and your organization/account affiliation and role within it.
Content you provide: messages, prompts, and files you submit to the AI assistant; lesson and coaching plans you create; and feedback you leave on AI-generated responses (for example, a thumbs up/down or written note).
Usage and device information: pages visited, features used, timestamps, IP address, browser/device information, and similar diagnostic data collected automatically as you use the Service.
Billing information: if your organization has a paid subscription, billing contact details and transaction history. Payment card details are collected and processed directly by our payment processor, Stripe, and are not stored on LLApp's servers.
We do not knowingly collect information directly from children, and the Service is not directed to or designed for use by children. See Section 8.
3. How We Use Information
We use the information described above to:
- Operate, maintain, and provide the features of the Service, including generating AI-assisted planning and coaching content
- Authenticate you and maintain the security of your account and organization
- Process subscription billing and payments
- Send transactional emails, such as sign-in links and account notifications
- Curate anonymized or de-identified examples of high-quality AI responses, drawn from feedback you provide, to improve the quality of the assistant's guidance for all users
- Monitor, troubleshoot, and improve the reliability and performance of the Service
- Comply with legal obligations and enforce our Terms of Service
We do not sell your personal information or Student Data, and we do not use Student Data to train third-party AI models beyond the processing described in Section 4.
4. Third-Party Service Providers
We share information with the following categories of service providers, solely to operate the Service:
- AI processing — OpenAI, LLC. When you interact with the AI assistant, the content of your conversation (including any Student Data it contains) is transmitted to OpenAI's API to generate a response. OpenAI processes this content under its own API terms and does not use API content to train its models.
- Payments — Stripe, Inc. Stripe processes subscription billing on our behalf and maintains its own privacy and security practices for payment data.
- Hosting and infrastructure — Amazon Web Services. Application data is hosted on AWS infrastructure, and transactional email is delivered via Amazon SES.
We require these providers to protect information consistently with this policy and to use it only to provide services to us.
5. Data Retention
Conversations, and the content generated within them — messages, uploaded file text, and planning documents — are automatically and permanently deleted 30 days after the conversation's last activity (this window is configurable by LLApp and may change over time). This automated purge runs on a recurring schedule and is designed specifically to limit how long Student Data and other conversation content persists.
An exception applies to feedback you leave on AI responses: because that feedback is used to curate training examples for improving the assistant (Section 3), a snapshot of the feedback and the associated response is retained beyond the 30-day window even after the source conversation is purged. Where a feedback snapshot originates from a student work sample, any attached source file is not retained past the point of curation.
Account information is retained for as long as your organization's account remains active, and for a limited period afterward as needed to comply with legal, tax, or accounting obligations.
6. Data Security
We use industry-standard administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, or loss, including encryption in transit, access controls scoped to your organization's account, and hosting on AWS infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Rights and Choices
Depending on your location and role, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated data, subject to the exceptions in Section 5
- Object to or restrict certain processing
Because LLApp accounts are provisioned by your school or district, some requests may need to be coordinated with your organization's administrator. To exercise these rights, contact us using the details in Section 10.
8. Children's Privacy
The Service is designed for use by adult Educators and is not directed to children under 13. We do not knowingly permit children to create accounts or use the Service directly. Student Data that appears within Educator-submitted content is handled as described in Sections 1, 4, and 5; if you believe a child has provided us with information directly, contact us so we can address it.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. We will update the "Last updated" date above, and where changes are material, we will provide additional notice.
